Records, retention and evidence

Retention

Manager → Settings → Retention sets how long audio and transcripts are kept. Rules can keep some incidents longer, one per line, for example:

type: Structure fire = 2555
flag: LODD = forever
flagged = 3650

(days, or forever). Flagged incidents and incidents on legal hold are kept unless a rule says otherwise; held incidents are never deleted. The storage planner on the System page shows how long until the disk is full at your current rate.

Activity log

Every sign-in, view, edit, export and deletion is recorded. The log is tamper-evident: each entry is chained to the one before, and Admin → Data → Check now shows if anything was changed or removed.

  • Cases: gather incidents and transmissions into a case folder.
  • Legal hold: nothing in a held case can be deleted, by people or by retention rules.
  • Evidence packages: a zip with the audio, transcripts, a manifest of SHA-256 hashes and a digital signature, so anyone can check nothing was altered. Optional watermark and redactions.
  • Share links: time-limited links for attorneys or investigators, with a log of every view.
  • Certificates: a signed certificate of authenticity for court.

Records Request pack (add-on)

Log FOIA / OPRA / public records requests with their due dates (business days counted for you), redact names and other details from transcripts, mute the matching audio, and produce the release package and a response letter.
